Sage Cactus Works LLC, doing business as Flight Deck ("we," "us," or "our"), operates the flightdeckhub.com platform. This Privacy Policy explains how we collect, use, and protect information when you use our service.
Account information: When a hub administrator signs up, we collect their name, email address, password, and hub name.
Veteran and guardian data: Hub administrators and staff enter information about veterans and guardians, which may include names, contact details, dates of birth, military service history, accessibility and logistics needs, health and medical information, and uploaded documents such as DD-214s, identification, and medical certificates.
Payment information: If you subscribe, payment details are collected and processed by Stripe, Inc. We do not store credit card numbers on our servers.
Hubs can use Flight Deck to collect health and medical information for trip safety. Examples are medical conditions, medications, allergies, mobility needs, DNR status, physician contacts, and medical certificates.
Each hub controls this information. The hub decides which medical questions its forms ask, which fields are turned on, and which of its users can see medical information. Flight Deck limits medical information to users that the hub gives medical access. The hub is responsible for these settings and for how its users use the information.
Not HIPAA. Flight Deck is not a HIPAA covered entity or business associate, and it is not designed as a medical records system. We recommend that hubs collect only the medical information that the trip needs, and remove it when it is no longer needed.
We use this information only to operate the service for the hub. We do not share it with medical providers, insurers, or any other third party, except the service providers in Section 6 that host and operate the platform.
We do not sell, rent, or share personal information with third parties for marketing purposes.
Each hub's data is stored in a separate, isolated database. Hub administrators can only access their own hub's data. No hub can view, query, or access another hub's information. Platform administrators have access only for technical support and maintenance purposes.
Your hub's data belongs to your organization. You may export all veteran and guardian data as CSV files at any time. Upon cancellation, you will have the opportunity to export your data before it is deleted.
We use the following service providers to host and operate the platform:
We implement industry-standard security measures including encrypted connections (TLS/SSL), hashed passwords, role-based access control, a separate medical-access permission, encrypted off-site backups, and regular security updates. While no system is 100% secure, we take reasonable measures to protect your data.
Security incidents: If we learn of unauthorized access to a hub's data on our systems, we will notify that hub's administrators without undue delay. We will tell them what happened, what data was affected, and what we are doing about it.
We retain hub data for the duration of an active subscription. After cancellation, data is retained in read-only state for 90 days to allow reactivation, after which it is permanently deleted.
Backups: We make nightly backups to protect against data loss. Backup copies are kept on a fixed schedule and expire automatically. On-site backups expire within 12 months, and encrypted off-site backups within 30 days. On request, we will remove a deleted hub's data from backups where this is technically possible.
Hub administrators may request deletion of their hub and all associated data at any time by contacting [email protected]. We will process deletion requests within 30 days.
We use essential cookies for authentication and session management. We do not use tracking cookies, advertising cookies, or third-party analytics services.
Flight Deck is not directed at individuals under 18. We do not knowingly collect information from children.
We may update this Privacy Policy from time to time. We will notify hub administrators by email of any material changes. Continued use of the service after notification constitutes acceptance of the updated policy.
If you have questions about this Privacy Policy or our data practices, contact us at [email protected].
